The short version: We collect information you give us (account, business info, RFPs, payment info) so we can provide eGovBid AI to you. We don't sell your data. We use trusted third parties to process payments and run AI analysis. You can request a copy of your data or delete it at any time by emailing info@ainetworkagency.com.
Note: This Privacy Policy was drafted as a reasonable starting point for our launch. It should be reviewed by a licensed attorney within the next 90 days, particularly for jurisdiction-specific requirements (CCPA, GDPR, and others) as our customer base grows.
1. Who We Are
eGovBid AI is a software service operated by Pamper Me Quick LLC, a New York limited liability company with its registered address at 393 Chauncey Street, Brooklyn, NY 11233 ("we," "us," or "our").
This Privacy Policy explains how we collect, use, share, and protect information when you visit our website or use the eGovBid AI service (the "Service"). By using the Service, you agree to this Privacy Policy.
Information You Provide Directly
- Account information: name, email address, phone number, business name, and other contact details when you sign up for a free trial or paid subscription.
- Business information: NAICS code, certifications (e.g., M/WBE, 8(a), SDVOSB, etc.), past performance details, and other capability information you provide.
- Uploaded content: RFP documents, solicitation files, and other materials you upload to the Service for analysis.
- Communications: messages you send us by email, phone, contact form, or in-app chat.
- Payment information: when you subscribe, payment card details are collected and processed directly by our payment processor (Stripe). We do not store full card numbers on our servers.
Information We Collect Automatically
- Usage data: pages visited, features used, time spent, click patterns, and similar interaction data.
- Device and connection data: IP address, browser type and version, operating system, device type, language preferences, and approximate location (based on IP).
- Log data: server logs that include timestamps, requested URLs, and HTTP response codes.
Information from Third Parties
We may receive information about you from our service providers (such as payment processors confirming a successful payment) and from publicly available government data sources (in aggregate, not personally identifiable to you).
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service;
- Analyze your uploaded RFPs and provide AI-generated insights, recommendations, and proposal drafts;
- Process payments and manage your subscription;
- Communicate with you about your account, the Service, support requests, and important updates;
- Improve and develop new features of the Service, including by analyzing usage patterns and building anonymized model training data;
- Detect, investigate, and prevent fraud, abuse, security incidents, and violations of our Terms of Service;
- Comply with applicable laws and respond to lawful requests from authorities;
- Send occasional product updates, educational content, or marketing messages (you can opt out at any time).
4. AI Processing of Your Content
eGovBid AI uses artificial intelligence models (including large language models from third-party AI providers such as Anthropic) to analyze RFP documents and generate insights, recommendations, and proposal drafts. When you upload an RFP or submit information to the Service:
- The content is transmitted to AI model providers for processing as part of providing the Service to you;
- AI providers may temporarily process and store the content according to their own data policies, typically only for the duration needed to generate a response and any required abuse-monitoring period;
- We do not authorize AI providers to use your content to train their general-purpose models. Where the provider offers commercial terms that exclude customer data from training, we operate under those terms.
We may use anonymized and aggregated patterns derived from how the Service is used (without identifying you or your business) to improve our own models, prompts, and features over time.
5. When We Share Information
We do not sell your personal information. We share information only in the following situations:
- Service providers: with trusted vendors who help us run the Service (hosting, payment processing, AI model APIs, email delivery, analytics). These vendors are contractually bound to handle your information only as needed to perform their services.
- Legal requirements: when required by law, subpoena, court order, or other legal process, or to protect our rights, property, or safety, or that of our users or the public.
- Business transfers: if we are involved in a merger, acquisition, financing, or sale of all or part of our business, information may be transferred as part of that transaction. We will provide notice before personal information becomes subject to a different privacy policy.
- With your consent: in any other case where you direct us to share information or give us explicit permission.
6. Third-Party Services We Use
We use the following categories of third-party services to operate eGovBid AI. Each has its own privacy policy governing how it handles data:
- AI model providers (e.g., Anthropic) — for AI processing of uploaded content.
- Payment processors (e.g., Stripe) — for handling subscription billing.
- Hosting and infrastructure providers — for serving the website and storing data.
- Email and communication tools — for sending account and support communications.
- Analytics tools (which may include Google Analytics or similar) — for understanding how the Service is used. If we use such tools, they may set cookies or use similar technologies.
We recommend reviewing the privacy policies of any third party whose service is referenced or linked from eGovBid AI before using it.
7. Cookies and Tracking
We use cookies and similar technologies for the following purposes:
- Strictly necessary cookies: required for the Service to function, including session management and security (you cannot disable these without breaking the Service).
- Functional cookies: remember your preferences and settings.
- Analytics cookies: help us understand how visitors use the Service (used only if and when we deploy analytics tools).
You can configure your browser to block cookies, though doing so may affect the functionality of the Service. We do not currently respond to "Do Not Track" browser signals, as there is no agreed-upon industry standard for how to do so.
8. Data Retention
We retain your information as follows:
- Account information: for as long as your account is active and for a reasonable period afterward (typically 24 months) to handle any post-cancellation inquiries, accounting, or legal needs.
- Uploaded RFPs and Past Performance Library entries: retained while your account is active. You may delete individual items through the Service. Upon account cancellation, we will delete this content within 60 days unless we are required by law to retain it longer.
- Payment records: retained as required by tax and accounting laws (typically 7 years).
- Communications: retained for support, audit, and dispute-resolution purposes (typically 24 months).
- Anonymized/aggregated data: may be retained indefinitely as it no longer identifies you.
You can request deletion of your personal information at any time by emailing info@ainetworkagency.com.
9. Security
We use industry-standard security practices to protect your information, including encryption in transit (HTTPS/TLS), access controls, and regular security reviews. However, no system is 100% secure. We cannot guarantee absolute security of your information, and you use the Service at your own risk.
If you suspect that your account has been compromised, please notify us immediately at info@ainetworkagency.com.

Legal basis for processing
We process your personal information on the following legal bases:
- Contract: to provide the Service you signed up for;
- Legitimate interests: to improve and secure the Service, communicate with you, and run our business;
- Consent: for marketing emails (you can withdraw at any time);
- Legal obligation: to comply with applicable laws.
Your GDPR rights
You have the rights described in Section 10, plus the right to lodge a complaint with your local data protection authority if you believe we have violated your rights under GDPR.
International data transfers
eGovBid AI is operated from the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S. We rely on appropriate safeguards (such as Standard Contractual Clauses) for any transfers of personal information from the EU/UK to the U.S. where required.
